Mongolia Quest: Terms & Conditions, Payment, and Cancellation Policy
Trip Application and Agreement
Thank you for choosing Mongolia Quest. Each applicant must carefully read, complete, and sign the Trip Application Form. Once the completed form is submitted, we will provide a more detailed Trip Application for further completion. Kindly ensure that you review this document thoroughly before signing at the bottom of the last page.
Payment Policy
Full payment for all tours is due 90 days before the trip’s scheduled departure date. Payments must be made in full unless otherwise agreed upon. All payments can be made through our secured online payment platform or via Wise (wise.com). For reference, an Online Payment Link will be provided upon confirmation of your trip booking.
Cancellation Policy
We understand that plans can change. If you need to cancel your trip, please notify us in writing. Upon receipt of your written cancellation, the following fees will apply:
•Up to 90 days before departure: A $250 per person handling fee.
•89-60 days before departure: A 20% cancellation fee of the total trip cost per person.
•60-45 days before departure: A 50% cancellation fee of the total trip cost per person.
•44-30 days before departure: A 75% cancellation fee of the total trip cost per person.
•29 days before departure, or after the trip has started: No refund.
Please note: Certain airfares may be non-refundable, and in the event of unused portions of your trip, no refund will be provided. Our cancellation policy also applies to any extensions or independent travel arrangements made in conjunction with the main program.
Limitation of Liability
Mongolia Quest (MQ) acts solely as an intermediary in arranging services such as transportation, accommodations, and other travel-related services. By booking, you agree to release MQ from any liability for injury, damage, illness, death, loss, accident, delay, expense, or irregularity arising from the negligence or failure to act by any carrier, hotel, restaurant, company, or individual providing services in connection with the tour. This includes, but is not limited to:
•Mechanical breakdowns or equipment failures.
•Incorrect visas, health certificates, or necessary documentation.
•Governmental actions, strikes, civil disturbances, sickness, quarantines, or natural disasters.
•Acts of war or hostility, and other circumstances beyond MQ’s control.
MQ also disclaims responsibility for changes to itineraries, travel disruptions, or risks related to physical activities such as mountain climbing, horse riding, kayaking, camel trekking, or overland trekking. All risks associated with these activities are assumed by the participant.
Assumption of Risks and Release from Liability
You acknowledge and accept that travel to less developed regions can present unique challenges and risks, which may include increased frequency of unforeseen events, higher chances of logistical delays, and health risks. By booking a trip with MQ, you explicitly accept these risks and agree to release MQ from any and all liability related to accidents, injuries, delays, or unforeseen events that may arise.
Please be aware that when participating in activities such as trekking, riding, kayaking, and other adventure travel experiences, additional waivers and liability releases may be required before undertaking specific activities.
Furthermore, given the unpredictable nature of travel in these regions, itineraries may need to be adjusted without prior notice for reasons such as weather conditions, government actions, or other circumstances beyond MQ’s control. Any additional charges resulting from delays or alterations to the itinerary are the responsibility of the traveler.
Tour Adjustments and Changes
Mongolia Quest reserves the right to adjust tour itineraries, modes of transportation, accommodations, and other services as necessary, to ensure participant safety and the tour’s successful operation. In some cases, if conditions such as weather, equipment failure, flight schedule changes, or unexpected political or health situations arise, tour adjustments may be necessary. Any additional charges resulting from such changes will be the responsibility of the traveler.
Tier Pricing
Mongolia Quest operates a tier pricing system, which means that pricing is based on the number of confirmed participants at the time of booking. If the number of participants increases or decreases, the price adjustment will be made according to the applicable tier. Should the number of travelers increase last-minute, any balance owed will be settled after your return. Conversely, any overpayment will be refunded post-trip.
Travel Insurance and Personal Responsibility
We strongly recommend purchasing comprehensive travel insurance to cover any unexpected cancellations, travel interruptions, or medical emergencies that may arise during your trip. Mongolia Quest is not responsible for any medical costs or emergency evacuations.
By signing the Trip Application, you acknowledge that you have read, understood, and agreed to the above terms, policies, and risk releases. You also acknowledge that you are personally responsible for following all applicable laws, regulations, and safety guidelines throughout your trip.
What Happens After We Receive Your Trip Application Form?
Upon receiving your completed Trip Application Form and payment, we will confirm the booking via email, providing you with a Pre-Trip Information Packet, which includes important details about your trip and any additional preparations.
Closer to the departure date, you will receive a Final Departure Packet with the final itinerary and essential travel information.
